PlanMyGrid is a visual Instagram planner built for solo creators, in-house social teams, and agencies juggling a dozen brand accounts at once. The questions below cover the full lifecycle of using the product: starting offline with no account, syncing your first grid to the cloud, inviting collaborators, gating client reviews with structured approvals, and — at the Agency tier — running the whole thing under your own white-labelled domain with custom DKIM-signed outbound email. A few patterns are worth pre-loading before you dive in. First, nothing leaves your browser until you sign in — that includes images, captions, and grid layouts, which makes PlanMyGrid genuinely safe for NDA-bound work or pre-launch campaigns. Second, the platform is plan-aware end-to-end: Free is for solo planning and exporting, Pro adds AI captions and shared analytics, Studio layers in multi-stage approvals plus client comments, and Agency unlocks workspaces, team seats, white-label, custom domains, and the referral program. Do I need an account to start planning?

No. PlanMyGrid opens straight into the planner so you can drag posts, test layouts, and export PNG previews without creating an account. Upgrade only when you’re ready to sync or collaborate.

How does syncing work when I do create an account?

Once you sign up, we securely sync your grids to our cloud servers so you can pick up on any device. Local drafts upload in the background and you can trigger a manual sync from settings whenever you prefer.

What happens to my media files?

While you are in Free mode everything remains on your device. After you sign in, uploads go to your private encrypted cloud storage. You can clear synced media anytime from the media manager.

What does the Pro plan add on top of Free?

Pro unlocks AI captions, hashtag finder, color harmony recommendations, and bio generator, plus watermark-free exports, analytics on shared grids, and advanced history.

Can clients review grids without logging in?

Yes. Share a secure preview link and optionally allow cloning for collaborators. Pro plans record view analytics so you can see when stakeholders open the board.

Do you integrate with Instagram scheduling?

Scheduling is on the roadmap. Today you can export captions, assets, and color notes for scheduling tools like Later or native Instagram drafts. Follow the changelog for scheduling API progress.

Can I plan Instagram Reels with PlanMyGrid?

Yes! Upload videos, set them as Reels, choose custom cover photos from video frames or uploaded images, and preview them in the Reels tab. Pro users can schedule and auto-publish Reels directly to Instagram.

How do Stories and Highlights work?

Send media to your Stories queue from the media library using the action bar or right-click menu. Create Highlights to organize stories into permanent collections that appear below your bio. Tap to preview, right-click to edit.

Can I create carousel posts?

Yes! Set any post to Carousel type, then add multiple images as slides. Preview the swipe-through carousel and publish it as a single multi-image Instagram post.

How does white-label setup work on the Agency plan?

Agency workspaces let you upload your own logo, set brand colors, and serve client share links from your own domain. Outbound approval emails also swap to your workspace branding and sender name. The whole setup happens inside workspace settings — you claim a domain, follow the on-screen DNS checklist, and we provision certificates automatically once the records verify.

What DNS records do I need for a custom share domain?

Yes — you'll point a CNAME at our shared share-host and verify DKIM, SPF, and DMARC for the branded sender. The exact records appear inside your workspace settings when you claim a domain; they're generated per workspace, so there's nothing to copy from a doc. SSL is auto-provisioned once the records resolve.

Can I require sequential reviewer chains on a share link?

Yes. On Studio and Agency, share links support multi-stage approval chains — each reviewer must approve before the next one sees the link, and any rejection routes the share back to the workspace owner with the comment trail attached. Reviewers only see their own stage, so earlier-stage feedback doesn't leak forward.

What are the team seat roles and what can each one do?

Agency workspaces use three core roles: Manager, Editor, and Viewer. Managers handle billing, members, and workspace settings. Editors create and edit grids, schedule posts, and send share links. Viewers are read-only — ideal for stakeholders who just want to watch the calendar. Roles are scoped per-workspace, so the same person can be Manager in one client workspace and Viewer in another.

How does the referral program payout work?

Every paying user gets a referral link from their account settings. You earn 30% recurring on every paid subscription you refer, paid via Stripe Connect for the lifetime of the subscription. See /planner/referrals for current payout details after signup. Credit applies automatically to your next invoice, and surplus is paid out monthly.
